Cancellation Policy

Tristate Bedbug Dogs understands that schedules change. The following cancellation terms apply to all K9 bed bug inspection and treatment service appointments across New York, New Jersey, Connecticut, and Pennsylvania.

Required Notice Period

  • 48 hours or more: Cancellations made at least 48 hours before the scheduled appointment are accepted at no charge. Any deposit paid will be refunded in full or applied to a rescheduled appointment at the client's preference.
  • 24 to 48 hours: Cancellations received between 24 and 48 hours prior to the appointment may incur a cancellation fee of up to 25% of the quoted service cost to cover scheduling and travel commitments.
  • Less than 24 hours: Same-day cancellations or no-shows may be subject to a late-cancellation fee of up to 50% of the scheduled service cost, as the appointment slot cannot be filled on short notice.

Emergency Exceptions

Tristate Bedbug Dogs reviews cancellation fee waivers on a case-by-case basis for verified emergencies (e.g., medical events, building access issues, or natural disasters). Clients requesting a waiver should contact the office at (929) 648-0110 or info@tristatebedbugdogs.com as soon as possible.

Rescheduling

Clients may reschedule an appointment without penalty provided at least 48 hours' notice is given. Rescheduled appointments are subject to availability. Tristate Bedbug Dogs will make every effort to accommodate the client's preferred date and time window.

Commercial and Multi-Unit Properties

For commercial properties, hotels, multi-family buildings, and other large-scale engagements, a separate service agreement is issued that may specify different cancellation and rescheduling terms. The terms set out in that agreement govern over this general policy where there is any conflict.

How to Cancel or Reschedule

To cancel or reschedule, please call (929) 648-0110 or email info@tristatebedbugdogs.com. Please include your name, appointment date and time, and the address of the property. Cancellations received outside of business hours are recorded based on the timestamp of the message.

Refund Policy

Tristate Bedbug Dogs is committed to delivering high-quality certified K9 bed bug detection and elimination services. The following refund terms apply to all inspection and treatment services rendered across NY, NJ, CT, and PA.

K9 Inspection Services

  • Completed inspections: Payment for completed K9 inspections is non-refundable. The inspection fee covers the deployment of certified detection dogs, handler time, travel, and the written inspection report — all of which are delivered at the time of service.
  • Service delivery issues: If a client believes the inspection was not conducted in accordance with the agreed service scope, Tristate Bedbug Dogs will review the concern and, where warranted, schedule a complimentary re-inspection at no additional cost.

Treatment Services

  • Completed treatments: Payment for completed treatment services — including heat treatment, steam, spray, and Cryonite — is non-refundable once the service has been performed.
  • 60-Day Warranty: All treatment services include a 60-day warranty. If live bed bugs are detected within 60 days of treatment, Tristate Bedbug Dogs will return to re-treat the affected area at no additional charge, subject to the warranty terms communicated at the time of service.
  • Warranty exclusions: The warranty does not cover re-infestation caused by introduction of new bed bugs from external sources (e.g., travel, used furniture, new occupants) after the treatment date. Warranty claims require a follow-up K9 confirmation inspection to verify active infestation.

Deposits and Prepayments

  • Deposits are fully refundable when the appointment is cancelled with at least 48 hours' notice, as outlined in the Cancellation Policy above.
  • Deposits may be forfeited in part or full for late cancellations or no-shows in accordance with the applicable cancellation fee schedule.
  • Refunds for eligible deposits are processed within 5–10 business days via the original payment method.

How to Request a Refund Review

Refund review requests must be submitted in writing within 7 days of the service date. Please email info@tristatebedbugdogs.com with your name, service date, property address, and a brief description of the concern. A member of the Tristate Bedbug Dogs team will respond within 2 business days.

Terms and Conditions

1.Acceptance of Terms

By booking a service with Tristate Bedbug Dogs ("Company," "we," "our," or "us"), by accessing or using the Tristate Bedbug Dogs website located at www.tristatebedbugdogs.com, or by otherwise engaging the Company's services, you ("Client," "you," or "your") acknowledge that you have read, understood, and agree to be bound by these Terms and Conditions in their entirety.

These Terms and Conditions constitute a legally binding agreement between you and Tristate Bedbug Dogs. If you do not agree to these terms, you must not use the Company's website or engage its services.

Tristate Bedbug Dogs reserves the right to modify these Terms and Conditions at any time. Continued use of the website or services following any posted modification constitutes your acceptance of the revised terms. The effective date at the top of this document reflects the date of the most recent revision.

2.Description of Services

Tristate Bedbug Dogs provides certified K9 bed bug detection inspections and bed bug elimination treatments, including but not limited to heat treatment, steam treatment, targeted chemical spray, and Cryonite freeze, across New York, New Jersey, Connecticut, and Pennsylvania.

Services are subject to availability, property access, geographic service area, and the scope agreed upon at the time of booking. The Company reserves the right to decline a service request at its sole discretion.

A positive K9 alert during inspection identifies areas of interest requiring handler visual verification. Detection results are reported in writing and do not constitute a guarantee of infestation levels, extent, or treatment outcomes. The K9 team's findings are advisory in nature and subject to professional judgment.

3.Booking and Scheduling

Appointments may be booked via the Tristate Bedbug Dogs website, by phone at (929) 648-0110, or by email at info@tristatebedbugdogs.com. A booking is confirmed only upon the Company's written or verbal confirmation and receipt of any required deposit.

The Company will make every reasonable effort to honor scheduled appointment times. However, Tristate Bedbug Dogs shall not be held liable for delays due to traffic, prior job overruns, weather conditions, or other circumstances beyond the Company's reasonable control. The Company will provide advance notice of material delays where practicable.

The Client is responsible for ensuring access to the property at the scheduled time. If the Client is unavailable or denies access at the scheduled appointment, the booking may be treated as a late cancellation and subject to the cancellation fee outlined in Section 5.

4.Pricing and Payment

All service fees are quoted at the time of booking and are subject to change based on property size, infestation severity, geographic location, treatment method selected, and any additional scope identified upon arrival. The Company will communicate any material price adjustment prior to commencing work.

K9 bed bug inspections are typically priced between $250 and $450 for residential properties. Commercial pricing is provided as a custom quote based on square footage, number of units, and frequency of service. Treatment pricing (heat, steam, spray, Cryonite) is quoted separately and does not include the inspection fee unless an inspection-and-treatment bundle is explicitly confirmed in writing.

Payment is due at the time of service completion unless an alternative payment arrangement has been agreed in writing in advance. The Company accepts major credit cards, debit cards, and other payment methods as communicated at the time of booking. Personal checks are not accepted unless pre-approved by management.

Invoices not paid within 30 days of service completion may be subject to a late payment fee of 1.5% per month on the outstanding balance, or the maximum rate permitted by applicable law, whichever is less. The Client is responsible for all reasonable collection costs, including attorneys' fees, arising from non-payment.

5.Cancellation and Rescheduling

The Company understands that plans change. To avoid a cancellation fee, the Client must provide written or phone notice of cancellation or rescheduling at least 48 hours before the scheduled appointment time.

  • Cancellations with 48+ hours notice: No fee assessed. Any deposit paid will be applied to a rescheduled appointment or refunded within 5–7 business days.
  • Cancellations with 24–47 hours notice: A cancellation fee of $75 will be assessed, or the full deposit will be forfeited if the deposit is less than $75.
  • Cancellations with less than 24 hours notice or no-shows: A cancellation fee equal to 50% of the quoted service price (minimum $100) will be assessed. For no-shows where technicians have traveled to the property, the full service fee may be charged.

Rescheduling requests with 48 or more hours of notice are accommodated at no charge, subject to technician availability. Repeated rescheduling may require a non-refundable deposit to confirm future appointments.

The Company reserves the right to cancel or reschedule an appointment due to weather, K9 handler illness, equipment failure, or other circumstances beyond reasonable control. In such cases, the Client will receive a full refund of any deposit paid or the option to reschedule at no additional cost.

6.Refund Policy

Tristate Bedbug Dogs strives to deliver accurate, professional service on every visit. The Company's refund policy is as follows:

  • Completed inspections: Inspection fees are non-refundable once the K9 team has completed the on-site sweep and delivered a written report, regardless of detection result.
  • Completed treatments: Treatment fees are non-refundable once work has commenced. If a Client believes the treatment was not performed as agreed, they must notify the Company in writing within 5 business days of service completion.
  • 60-Day Warranty re-treatments: Where a 60-day warranty is included with a treatment package, any re-treatment within the warranty period is provided at no additional cost, subject to the Client meeting the preparation requirements in Section 7.
  • Deposits: Deposits are refundable only if the cancellation is made with 48 or more hours of notice as described in Section 5. Deposits forfeited under the late cancellation or no-show policy are not refundable.
  • Service not performed: If Tristate Bedbug Dogs is unable to perform a booked service for reasons attributable solely to the Company, the Client will receive a full refund of any amounts paid for that service within 7 business days.

7.Client Preparation Requirements

For inspection and treatment services to be conducted effectively and safely, the Client is responsible for ensuring the property is properly prepared prior to the scheduled appointment. General requirements include, but are not limited to:

  • Removing clutter from floors, under beds, and inside closets to allow unobstructed K9 access.
  • Washing and heat-drying all bedding, linens, and clothing and placing them in sealed bags prior to treatment.
  • Vacating the property (with all humans and pets) for the duration of heat treatments and for the period specified following chemical or spray treatments.
  • Ensuring all food, utensils, and exposed items are stored or covered as directed in pre-treatment instructions.
  • Disclosing any known health conditions, chemical sensitivities, or property features that may affect service delivery.

Failure to adequately prepare the property may result in reduced treatment efficacy, voiding of warranty coverage, or a service call charge if the technician is unable to proceed. The Company is not responsible for treatment failures attributable to inadequate Client preparation.

8.Scope of K9 Detection Services

Tristate Bedbug Dogs' K9 inspection teams consist of certified detection dogs (Tank and Junior) handled by state-licensed, certified K9 handler technicians. The inspection process includes:

  • Perimeter sweep: The K9 works systematically along the perimeter of each room, covering baseboards, furniture edges, and wall-floor junctions.
  • Scent line inspection: The handler directs the K9 in structured scent lines across key areas including mattresses, box springs, upholstered furniture, and behind headboards.
  • Handler visual verification: Any positive K9 alert is followed by direct handler visual inspection of the flagged area to confirm or rule out the presence of live bugs, nymphs, or eggs.
  • Written report delivery: A written inspection report is delivered upon completion of the on-site sweep, detailing areas inspected, alerts recorded, and handler verification findings.

The Client is advised not to apply any pesticides, sprays, or repellents for at least 72 hours prior to a K9 inspection, as these may compromise scent detection. The Company makes no guarantee of 100% detection accuracy on any individual inspection.

9.Treatment Services

Treatment services are performed by state-licensed pest control technicians with a minimum of 5 years of field experience. The Company offers the following treatment modalities:

  • Heat Treatment: Whole-room or whole-unit thermal remediation reaching temperatures lethal to bed bugs at all life stages.
  • Steam Treatment: Targeted high-temperature steam applied to seams, crevices, and harborage points. Effective for localized infestations.
  • Targeted Chemical Spray: Application of EPA-registered, bed bug-specific pesticides to identified harborage areas. Clients must vacate and follow re-entry instructions.
  • Cryonite Freeze Treatment: CO₂ snow applied to freeze and kill bed bugs on contact. Chemical-free and suitable for sensitive environments.

The recommended treatment method is determined by the technician based on inspection findings, property type, infestation severity, and Client preference.

10.Warranties and Guarantees

Where expressly stated at the time of booking, Tristate Bedbug Dogs offers a 60-day warranty on qualifying treatment services. Under this warranty:

  • If live bed bugs are detected within 60 days of treatment, the Company will perform one complimentary re-treatment of the originally treated area.
  • The warranty applies to the specific unit, rooms, or areas treated and does not extend to adjacent units or neighboring properties.
  • The warranty is voided if the Client fails to follow post-treatment instructions or if reinfestation is attributable to a new external source.
  • A follow-up K9 inspection may be required to confirm active reinfestation before a warranty re-treatment is scheduled.

Except as expressly stated herein, all services are provided "as is" without any warranty, express or implied.

11.Limitation of Liability

To the maximum extent permitted by applicable law, Tristate Bedbug Dogs' total liability to the Client for any claim arising out of or related to these Terms and Conditions or the Company's services shall not exceed the total fees paid by the Client for the specific service giving rise to the claim.

In no event shall the Company be liable for:

  • Any indirect, incidental, special, consequential, or punitive damages, including loss of profits or cost of substitute services;
  • Damage to property that was not disclosed to the technician prior to the start of service;
  • Personal injury or property damage resulting from Client failure to follow preparation or post-treatment instructions;
  • Infestation persistence or recurrence attributable to external sources, structural conditions, or Client non-compliance.

12.Indemnification

The Client agrees to indemnify, defend, and hold harmless Tristate Bedbug Dogs and its officers, directors, employees, agents, K9 handlers, and technicians from and against any and all claims, liabilities, damages, losses, costs, and expenses (including reasonable attorneys' fees) arising out of or relating to:

  • The Client's breach of these Terms and Conditions;
  • The Client's failure to prepare the property as instructed;
  • Any misrepresentation made by the Client regarding property conditions, occupancy, or health factors;
  • Claims by third parties arising from the Client's engagement of the Company's services.

13.Property Access and Safety

By scheduling a service, the Client represents and warrants that they have the legal authority to grant access to the property. If the Client is a tenant, they represent that they have obtained any necessary landlord consent required under their lease agreement.

  • Heat treatment involves high-temperature air in enclosed spaces. Clients must remove heat-sensitive items as directed and must not re-enter until the technician confirms it is safe to do so.
  • Chemical treatments involve EPA-registered pesticides. Clients, pets, and vulnerable occupants must vacate the property for the re-entry period specified.
  • The K9 detection dogs are working animals. Do not approach, distract, feed, or interfere with the K9 during an inspection. Keep household pets secured away from the work area.

14.Confidentiality

Tristate Bedbug Dogs treats all Client information with strict confidentiality. Inspection reports, service records, and personal information are not shared with third parties except as required by law or necessary to perform the service.

The Client agrees not to disclose the contents of inspection reports to third parties in a manner that could be misleading, defamatory, or harmful to the Company's reputation.

15.Intellectual Property

All content on the Tristate Bedbug Dogs website, including text, graphics, logos, images, service descriptions, and training protocols, is the exclusive intellectual property of Tristate Bedbug Dogs or its licensors and is protected by applicable copyright, trademark, and trade secret laws.

The Client may not reproduce, distribute, modify, create derivative works from, or publicly display any Company content without prior written authorization.

16.Website Use

The Tristate Bedbug Dogs website is provided for informational and booking purposes only. The Company makes no warranty that the website will be uninterrupted or error-free. Use of the website is at the Client's own risk.

The Client agrees not to use the website for any unlawful purpose, to submit false or misleading information, to interfere with the site's security features, or to engage in any conduct that could damage the Company's reputation or operations.

17.Privacy Policy

The collection, use, and protection of personal information provided by Clients is governed by the Tristate Bedbug Dogs Privacy Policy, incorporated into these Terms and Conditions by reference. Tristate Bedbug Dogs collects only the personal information necessary to schedule, perform, and invoice for services.

The Company does not sell, rent, or trade Client personal information to third-party marketers.

18.Governing Law and Dispute Resolution

These Terms and Conditions shall be governed by and construed in accordance with the laws of the State of New York, without regard to its conflict of law provisions. The Company's principal place of business is located at 500 8th Avenue, New York, NY 10018.

In the event of a dispute, the parties agree to first attempt resolution through good-faith negotiation. If negotiation fails within 30 days, the parties agree to submit the dispute to binding arbitration administered under the rules of the American Arbitration Association (AAA) in New York County.

The Client waives any right to participate in a class action lawsuit or class-wide arbitration against the Company.

19.Modifications to Terms

Tristate Bedbug Dogs reserves the right to update or modify these Terms and Conditions at any time without prior notice. The revised Terms will be posted on the Company's website with an updated effective date. It is the Client's responsibility to review these Terms periodically.

Continued use of the Company's services or website after any modification constitutes acceptance of the revised Terms. Modifications do not apply retroactively to services already completed or to disputes already in progress.
